JOIN THE FALCON FOUNDATION BOARD

The Archie Williams Falcon Foundation is seeking engaged, community-minded leaders to join our Board for the 2026–2027 school year.

Serving on the Board is a meaningful way to support our students, teachers, and programs across academics, arts, athletics, and wellness. Board members play an active role in advancing the Foundation’s mission and strengthening the Archie Williams community.

Board Member Expectations
  • Support and uphold the Foundation’s mission, by-laws, and board member agreement
  • Attend monthly board meetings and Foundation-sponsored events as able
  • Act as an ambassador for the Foundation within the school and broader community

EVENTS

Senior Graduation Events - 
SIGN-UP HERE to help with Senior Events

  • ​Senior Collages - Parent Lead & Collage Hanging (June 3, 2026)
    • ​Hang the senior collages made by parents along the baseball field at school. 
  • ​Last Chapter Set-up Team & Event Support (June 5, 2026)​​
    • Set Up Team: Set up tables and chairs and help with decorating the area as directed.
    • Event Support: Help with any last minute event preparations. Support caterer in maintaining the buffets and then cleaning up/breaking down once as needed once the participants move into the Gym.
  • Graduation Lei Distribution (June 11, 2026)
    • Distribute graduation flower leis to the graduates as they line up. ​
  • ​Safe and Sober Grad Night Bus Coordinator & Volunteers (June 11, 2026)
    • Grad Night Bus Check In Volunteer: This year's event is a Boat Cruise departing from Sausalito. You will support the student check in and bus load in process in the Saunders parking lot at school from 8-9pm.​
  • Safe & Sober Grad Night Chaperone Coordinator  & Chaperones (June 11, 2026)
    • ​Grad Night Chaperones: This year's event is a Boat Cruise departing from Sausalito. Chaperones attend the entire cruise. You may drive directly to the event or take a bus with the students. At the event you will rotate zones at the event as directed by the Chaperone Coordinator to ensure that students are safe. ​​

OTHER NON-BOARD POSITIONS

Social Media Engagement Manager
  • Work with the Executive Director and Communications Chair to ensure robust engagement through our social media platforms, promoting both the Foundation and the Archie Williams programs that the Foundation supports.

COMMITTEES 

Athletic Committee
The Athletic Committee is the group responsible for managing and distributing the money set aside each school year to fund athletic requests. The Committee is made up of 1-2 Board Members, the Athletic Director, the Assistant Principal who oversees athletics, as well as 2-4 other parent/guardian volunteers.  This committee meets at least four times a year to review funding requests.

Annual Giving Committee 
Support the Family Giving Chair in the execution of our annual family giving strategy over the course of the school year. Committee members will be asked to contribute 5-10 hours over the school year to help with any of the following tasks: phone calls, email outreach or the organization of fundraising events. 

Grant Allocation Committee 
Manages the distribution of funds raised by the foundation, ensuring they are allocated according to the foundation's goals and priorities. Oversees the Fall and Spring grants review and approval process. 
Meetings as needed, more frequent around fall and spring allocation cycle. 

 
Events Committee
Fostering meaningful connections and partnerships with parents, emphasizing collaboration and involvement in the school community. Plans and executes special events, such as fundraising and community outreach events, or donor appreciation events. They coordinate logistics and ensure events align with the foundation’s goals. Meetings a
s needed, more frequent around fall and spring allocation cycle.

BOARD POSITIONS 

 Board President
(10 Board Meetings + 3-5 Hours/Month)
  • The Board President is an Officer of the Non-Profit Corporation.
  • Lead organization in achieving short term and long term goals.
  • Oversee Executive Committee (see below).
  • Develop and manage an annual fundraising strategy.
  • Prepare Board meeting agendas.
  • Preside over Board meetings.
  • Participate in the annual budgeting process with the Executive Director and Treasurer.
  • Identify and develop future Board members.
  • Maintain strong relationships with AWHS administration and District counterparts at other schools.
  • Ensure that AWHS Falcon Foundation is represented at District and community meetings by attending or delegating a Board Member to attend.

Vice President
(10 Board Meetings + 3-5 Hours/Month)
  • The Vice President is an Officer of the Non-Profit Corporation.
  • Assist the Board President in leading the organization in achieving short term and long term goals.
  • Preside over Board meetings if the Board President is not able to attend.
  • Partner with the Events Chair to execute all events.
  • Identify and develop future Board members.
  • Maintain strong relationships with AWHS administration and District counterparts at other schools.
  • Other responsibilities as assigned.

Secretary 
(10 Board Meetings)
  • The Secretary is an Officer of the Non-Profit Corporation.
  • Take minutes at all Board meetings.

Treasurer 
(10 Board Meetings + 1-4 Hours/Month)
  • The Treasurer is an Officer of the Non-Profit Corporation.
  • Participate in the annual budgeting process with the Board President and Executive Director.
  • Ensure oversight of Executive Director financial responsibilities.
  • Oversee the Fall and Spring grants review and approval process.
  • Oversee Grant Allocations Committee (see above). 
  • Assist the executive director with monthly bookkeeping, including making and recording payments for tournament fees, and other grant related expenses.

Family Giving Chair
(10 Board Meetings + 10 Hours September-October + 1-2 Hours/Month Other Months)
  • Develop Family Giving Campaign strategy with the Board Officers.
  • Work with the Executive Director and Communications Chair to execute the strategy.
  • Oversee Annual Giving Committee (see above)
  • Work with the class representatives to develop targeted messaging to each grade level.
  • Work with the Business Partner Chair(s) to plan a donor appreciation event.

Business Partner Program Chair 
(10  Board Meetings + 10-15 Hours September-October)
  • Manage the annual business partner campaign including retention of current donors and outreach to new donors.
  • Collect artwork for new BP signs.
  • Coordinate BP sign hanging with AWHS administration and parent volunteers.
  • Oversee Business Fundraising Committee (see above). 
  • Maintain strong relationships with towns of San Anselmo and Fairfax.
  • Work with the Family Giving Chair(s) to plan a donor appreciation event.

Athletic Committee Chair
(10 Board Meetings + 2-4 Hours/Month)
  • Represent the broader athletic community at AWHS and act in support of all athletic teams and clubs.
  • Work with the Executive Director to establish a budget for Athletics.
  • Oversee the committee and process that distributes funds set aside annually by the Board to fund athletic requests. 
  • Run 4-5 Athletic Committee meetings a year to review and approve funding requests. Determine the frequency, timing, location and agenda for all meetings.
  • Ensure all funding requests meet both AWHS Falcon Foundation and Athletic department criteria.
  • Maintain committee files and records in accordance with foundation Bylaws.
  • Maintain strong relationships with the Athletic Director and Assistant Principal overseeing athletics. 
  • Attend District Athletic meetings as required.

Communications Chair 
(10 Board Meetings + 4-5 Hours/Month)
  • Develop overall communications strategy with the Board Officers.
  • Work with the Executive Director to execute awareness campaigns, email communications and social media posts.
  • Write social posts, emails, and newsletters in collaboration with the President and other board chairs.

Staff Appreciation Chair
(10 Board Meetings + Event Hours)
  • Oversee the planning and execution of monthly staff appreciation events (1-4 hours/event). 
  • Oversee the planning and execution of a Holiday party in December (20 hours).
  • Recruit and organize coordinators and/or committees in a timely manner.
  • Create and/or maintain documentation for all events as needed.

Events Chair 
(10 Board Meetings + Event Hours)
  • Work with School Administration and/or the Executive Director and Board Vice President to plan and execute 3-5 events.
  • Oversee the planning and execution of lunch for teachers and students for Day 1 Event.
  • Support AWHS school administration with the planning and execution of Senior events, including Last Chapter and Grad Night. 
  • Oversee Parent Engagement and Events Committee (see above). 
  • Recruit and organize coordinators, committees and/or volunteers in a timely manner.
  • Create and/or maintain documentation for all events as needed.

Class Representative - 1 Per Grade 
(10 Board Meetings + 1-2 Hours/Month)
  • Represent his/her grade at Board meetings, and strive to build community within that grade.
  • Help to recruit coordinators and/or volunteers for the events we are involved in.
  • ​Communicate to their grade community via email on a quarterly basis.
  • Attend the Fall new family welcome event.
  • ​Participate in at least one other Board activity or committee, e.g. fundraising, business partner program, staff appreciation or student event, etc. ​​​​​

NON-BOARD POSITIONS

Executive Director 
The Executive Director develops, recommends, and administers policies, procedures and processes in support of Foundation goals and operations, in accordance with relevant legal parameters, and implements and monitors compliance with approved policies, procedures and processes. The Executive Director position is a part time paid position. Except for specific meeting obligations, hours are flexible and range between 20 and 40 hours per month. See the full job description.
