Executive Director Job Description
POSITION OVERVIEW
The Executive Director develops, recommends, and administers policies, procedures and processes in support of Foundation goals and operations, in accordance with relevant legal parameters, and implements and monitors compliance with approved policies, procedures and processes. The Executive Director reports to the Board President, is an Officer of the Non-Profit Corporation and attends Board meetings, but does not vote and is not allowed to participate in compensation discussions.
The Executive Director position is a part time paid position. Except for specific meeting obligations, hours are flexible and range between 20 and 40 hours per month.

RESPONSIBILITIES
- Attend 10 Board meetings. Board meetings are held monthly in the Staff Lounge at Archie Williams High School, start at 7:00 PM and last 1-2 hours.
- Monitor the foundation’s email inbox and respond to emails or forward emails to the appropriate Board member within 24 hours.
- Work with the Board President and Family Giving Chair to plan and implement an annual family giving strategy.
- Work with the Board President and Communications Chair to plan and implement an annual communication strategy.
- Work with the Business Partner Chair to plan and execute the annual Fall Business Partner campaign.
- Maintain the foundation’s fundraising platform and ensure that donations are acknowledged in a timely fashion.
- Keep track of company matching systems and donations. Make sure donations are acknowledged as needed.
- Work with the Board President and Treasurer to create an annual budget.
- Manage the foundation’s bank and investment accounts and keep track of all income and expenses in QuickBooks.
- Track and analyze financial results and family giving participation rates.
- Prepare financial recaps and/or projections as needed for Board meetings.
- Work with the foundation accountant to file taxes and other federal or state required reporting each year.
- Maintain company files and records in accordance with foundation bylaws and applicable federal and state 501(c)(3) regulations.
- Oversee the renewal of insurance, technology subscriptions, etc. each year.
- Maintain strong relationships with AWHS administration and counterparts at other district schools.
- Attend 9 SchoolsRule meetings and provide updates to the Board on SchoolsRule activities, events, volunteer needs, etc. SchoolsRule meetings are held the third Thursday of each month at the Marin County Office of Education and last 1.5 hours.
- Attend 9 district meetings and provide updates to the Board as needed. District meetings are held the second Friday of each month over Zoom and last 1 hour.
- Provide administrative support for the various programs or events managed by the foundation, e.g. Staff Appreciation, Scrip & gift card program, Safe & Sober Grad Night, Business Partner campaign, Fall and Spring grant cycles, etc.
- Other responsibilities as assigned.
QUALIFICATIONS
- Bachelor’s degree or equivalent work experience, preferably in nonprofit development, sales or marketing
- Fundraising experience
- Budgeting and bookkeeping experience
- Event planning experience helpful
- Experience with Google Workspace and QuickBooks
- High energy level, persistent, and self-motivated
- Outstanding communication and organizational skills
- Organized and detail-oriented, able to work independently
- Social media management experience is a plus
- Graphic design experience is a plus (Adobe Illustrator or Canva)
